Acceptable use policy
The short version: lawful content, no breaking things, no spamming people, and the AI reads your documents, not the other way round.
1. Scope
This policy applies to all use of the renewals360.com website and the Renewals360 platform at app.renewals360.com, and forms part of the terms of service. It exists to keep the service safe, fast and trustworthy for every customer sharing it.
2. Lawful use and content
Use the service only for lawful business purposes. Do not store or distribute content that is unlawful, defamatory or infringing, and do not upload documents or data that you do not have the right to hold or share. You are responsible for the content your workspace contains.
Do not use the service to process categories of data it is not designed for, including special or sensitive categories of personal information such as health or biometric data.
3. Security
Do not attempt to gain unauthorized access to the service, to other customers' workspaces, or to anyone else's systems. Do not probe, scan or test the vulnerability of the service without our prior written consent. Do not introduce malware, and do not interfere with or disrupt the service or its infrastructure.
If you discover a security vulnerability, tell us at hello@renewals360.com and give us a reasonable opportunity to fix it before any disclosure. We are grateful to researchers who report responsibly.
4. Notification systems
The platform's email and SMS notification systems exist to alert your own team about your own obligations. Do not use them to send unsolicited messages, to message people who have not agreed to receive alerts, or to deliver content unrelated to the platform's purpose. Nominate only mobile numbers whose holders have agreed to receive SMS alerts.
5. AI features
The AI document-reading features exist to prefill obligation records from your own documents. Do not use them to process content you have no right to process, and do not attempt to manipulate the underlying model, to extract its instructions, or to make it produce output unrelated to the platform's purpose.
6. Accounts and resale
Accounts are for your organization's authorized users. Do not share credentials, and do not resell, sublicense or make the platform available to third parties except as your plan allows: MSP and group plans include client portfolios.
7. Fair use
We may set fair-use limits (for example on API calls, storage or notification volume) to protect the service for all customers. We will tell you if you are near one, and work with you if your legitimate use needs more headroom.
8. Enforcement
If use of the service breaches this policy we may, depending on severity: warn you, remove the offending content, suspend the affected accounts or workspace, or terminate under the terms of service. Where the law requires or permits it, we may also report unlawful activity to the authorities. We will use the least disruptive remedy that protects the service and other customers.
To report a suspected breach of this policy, contact hello@renewals360.com.
